The purpose of this policy is to explain what personal data is collected and held by Elephant Rooms and how that information is managed. If you should have any concerns regarding your personal data please direct your inquiries to:

We currently collect and use the following information:
Public contact information for communication of activities at Elephant Rooms including the Monthly newsletter.
Management contact information for personnel who work or volunteer at Elephant Rooms.
Business contacts for the purposes of communication regarding services and products.
Stakeholder survey information to understand the needs of our community.
Personal evaluation information and Social Impact data to help select determine the benefits of our services.
Personal information collected as part of classes, therapies and treatments is the responsibility of the individual class leaders and therapists and not held by Elephant Rooms.
For each of the above categories we explain below how the information is collected, how it is used and how it is managed.
1. Public Contact Information
Collection: We collect contact details from clients and participants only directly when they contact us or sign up to our communications such as our Newsletter. We may also be passed contact information by the health services to enable contact with a client. We may also collect information in the event of addressing a concern or complaint, and as part of accident reporting.
Information held: Contact details.
Use: The information is only used to communicate regarding services and activities relating to Elephant Rooms.
Management: You can unsubscribe from our newsletter and have your personal contact details removed from our database at anytime by using the contact e-mail given in this notice. Records obtained for investigating a complaint or accident will be deleted or destroyed after 5 years.
2. Management Contact Information
Collection: This is information from people who work or volunteer at Elephant Rooms and is obtained directly.
Information held: Contact details and experience information of personnel who operate from Elephant Rooms. Contact details, qualifications, insurance
Use: Communication and assurance.
Management: The information is stored in locked storage and on computers with suitably protection software. Individual’s details are kept up to 2 years after leaving Elephant Rooms.
3. Business Contact Information
Collection: Business contact information is collected through direct contact with the organisations and individuals and from direct marketing sources.
Information held: Contact details and service/product data.
Use: For communication, promoting the services of Elephant Rooms and sourcing services and products.
Management: The information is stored in locked storage and on computers with suitably protection software. Individual detail are kept up to 2 years after leaving Elephant Rooms.
4. Stakeholder Survey Information
Collection: Periodically Elephant Rooms undertakes surveys of its stakeholders. The survey includes an explanation of how the data will be used and allows respondents to complete the survey anonymously.
Information held: Name and email address, health information, services accessed and feedback on services.
Use: The information is used to prepare anonymised reports on how Elephant Rooms is performing as a Community Interest Company and to inform our services.
Management: The information is held on a database protected by passwords and appropriate software. Any analysis or reporting is based on the whole stakeholder population and is therefore anonymised. E-mail addresses on the database are kept for no longer than 5 years.
5. Social Impact information
Collection: Individuals using the services of Elephant Rooms may where appropriate be asked directly for Social Impact feedback. Some individuals may also have a Personal Evaluation to help select services. All data is collected from and with the consent of the client or participant.
Information held: Personal Evaluations include contact details and health information. All individuals participating in the Social Impact Studies are given a personal code and data collected is thus anonymised on paper and electronically.
Use: The Personal Evaluations are used to help individuals select activities at Elephant Rooms. The Social Impact data is used to assess the benefits of the services of Elephant Rooms.
Management: Personal Evaluations are kept on paper in a locked filing cabinet. Social Impact data is coded and held on a database protected by passwords and appropriate software. Any analysis or reporting is based on the whole stakeholder population and is therefore anonymised.
Your data protection rights
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting elephantroomsgene@gmail.com
(b) We believe we have a legitimate interest to communicate our activities and services and to assess our social impact. Nevertheless, if consent is withdrawn, we will remove the relevant data.
